Forwarding or Redirecting Incoming Messages

Forwarding/Redirecting in Outlook is done with 'Rules':

  • Forwarding and Redirecting both leave a copy of the message in your Inbox
  • Forwarding adds “FW:” to the beginning of the Subject line and reformats the message before sending
  • Redirecting just redirects the message as is

To copy all messages to another e-mail address, create a new rule like this:

Tools → Rules and Alerts → New Rule → for Arriving Messages

Give the new rule a name…something like 'Copy all messages to Fred', then select:

Forward the message to people or distribution list

Then click the blue link People or Distribution Lists which will bring up your Outlook address book. Yes, the recipient of these messages must be in your address book.

Double-click the contact you want to be the recipient (Fred) and click OK.

Click Save.

Vacation Messages

Vacation messages are just auto-responses to messages people send to you letting them know you are out of the office. They can contain any info you choose.

File → Info → Automatic Replies (Out of Office)

Using Outlook Web Access (Webmail)

In IE, browse to your Exchange server. With SBS, it's usually something like:

  1. Log in and select E-Mail.
  2. Click on Options.
  3. Select 'Rules' for forwarding.
  4. Select 'Out of Office Assistant' for vacation messages.
